Managing Flow Access
Flows can be shared or unshared using three different methods:
Using the ellipsis (⋮) menu in the Actions column on the Flows Page
Using the Users tab in the Flow Details Page
In the Flow Designer, using the Manage Users button in the toolbar
Sharing a Flow
Sharing a flow allows for collaboration with team members or other users within your workspace. Follow these steps to share a flow:
Method 1: Using the Ellipsis (⋮) Menu in the Flows Page
Locate the flow you wish to share in the Flows Page.
Click the ellipsis (⋮) icon in the Actions column.
Select "Share" from the dropdown menu.
A dialog box will open, listing active users who don’t yet have access.
Select the users by checking the boxes next to their names.
Choose the access type:
Read Only – Users can view but not edit the flow.
Editor – Users can view and modify the flow.
Click "Share" to confirm.
A popup notification will appear: "Flow has been shared successfully!"
Method 2: Using the Users Tab in the Flow Details Page
Open the Flow Details Page by clicking the flow name or selecting "View Details" from the ellipsis menu.
Navigate to the Users tab.
Click the Add button.
A dialog box will open, listing active users who don’t yet have access.
Select the users by checking the boxes next to their names.
Choose the access type: Read Only or Editor.
Click "Share" to confirm.
A popup notification will appear: "Flow has been shared successfully!"
The updated list of users will be displayed.
Method 3: In the Flow Designer
Open the Flow Designer by clicking the Open button in the Flow Details Page or selecting Edit from the ellipsis (⋮) menu.
Click the Manage Users button in the toolbar.
A dialog box will open, displaying all users who have access to the flow.
Click the Add User dropdown, listing active users who don’t yet have access.
Select a user and click the Add button.
Choose the appropriate level of access you want to assign to the user:
** Read Only: Users with "Read Only" access can view the workflow but cannot make any changes to it.
** - ** Designer: Users with "Designer" access can both view and modify the workflow. **
A popup notification appears: "Flow has been shared successfully!"
Once shared, the flow will display the avatars of the users who now have access, indicating successful sharing.
Unsharing a Flow
Unsharing a flow revokes access from users who no longer need to collaborate on it. Here’s how to unshare a flow:
Method 1: Using the Ellipsis (⋮) Menu in the Flows Page
Locate the flow you want to unshare in the Flows Page.
Click the ellipsis (⋮) icon in the Actions column.
Select "Unshare" from the dropdown menu.
A dialog box will open, listing users who currently have access.
Deselect the users you want to remove access from.
Click "Save" to confirm the changes.
A popup notification appears: "Flow a has been unshared successfully!"
Method 2: Using the Users Tab in the Flow Details Page
Open the Flow Details Page and go to the Users tab.
Locate the user(s) you want to remove.
Click the Remove icon associated to their name.
Confirm the removal.
A popup notification appears: "Flow a has been unshared successfully!"
The updated user list will no longer include the removed users.
Method 3: In the Flow Designer
Open the Flow Designer by clicking the Open button in the Flow Details Page or selecting Edit from the ellipsis (⋮) menu.
Click the Manage Users button in the toolbar.
A dialog box will open, displaying all users with access to the flow.
Locate the user you want to remove and click the Remove option.
A popup notification appears: "Flow a has been unshared successfully!"
Once unshared, the flow will no longer display the avatars of users who had access, indicating that access has been revoked, and they will no longer be able to view or modify the flow.
Updating User Access Type
User access types (Read Only or Editor) can only be changed in:
The Users Tab in the Flow Details Page
The Manage Users Button in the Flow Designer
Steps to Update Access Type
Navigate to the Flow Details Page and go to the Users tab OR open the Manage Users dialog in the Flow Designer.
Locate the user whose access you want to modify.
Click the Access Type dropdown next to their name.
Select the new access type (Read Only or Editor).
A popup notification appears: "Access type updated successfully!"
